Exhibitor Policies
All Exhibitors (Artists, Vendors, etc.) must read and agree to these.
- All Exhibitors (including, but not limited to, artists, featured talent, food trucks, guests, promotional booths, tabletop exhibitors, and vendors) and their staff are responsible for adhering to the Convention Rules and Weapons Policy posted online for their respective convention:

- The assignment of all exhibitor space will be solely at the discretion of Green Mustard Entertainment management. While we will do our best to accommodate placement requests, we cannot guarantee a specific space.
- Exhibitors participating in Artist Alley requesting to share their table with another artist are permitted to do so. However, only one artist will be officially assigned to the space. Therefore, the second artist is considered a sublet of the registered Artist who takes on all responsibilities for the space and those working the booth. Additionally, the space will only be listed as the registered (primary) artist on all event publications including maps, websites, etc. Failure of the secondary artist to adhere to any convention policies can and will result in both participants being removed without a refund.
- All WasabiCon Exhibitor space applications are reviewed prior to approval for content and the type of goods being sold. This is in order avoid saturation of any specific style or merchandise offering for our attendees. Therefore, any Exhibitor space (Artist Alley, Vendors, etc.) is non-transferable.
- We will attempt to notify you of your booth number and/or space assignment prior to the event along with a load-in schedule with instructions. Exhibitor packets containing credentials (badges or wristbands) and any other pertinent paperwork will be available for pickup before the event begins.
- Your Exhibitor space will be considered confirmed upon receipt of full payment. Partial payments and verbal agreements do not constitute a confirmed space or guarantee of any kind.
- Any cancellations must be received in writing (via email) to either the Artist Alley Coordinator or Exhibitor/Vendor Coordinator no later than fifteen (15) calendar days prior to the event and are subject to a $100 cancellation fee per booth/space. Cancellation requests after that point are non-refundable.
- Load-in, set up, and breakdown times for Exhibitors are strictly enforced. Load-in typically takes place the day before the convention for two (2) day events. For three (3) day events, load-in can take place the day before the event and the morning of the first day of the event. In some case, load-in may be limited to the morning of the first day of the event. All exhibitors are required to be open and operational during the provided Exhibitors Hall hours which may differ from the publicly posted hours.
- Bootleg merchandise (aka “grey market goods” or any and all unlicensed products and reproductions of any kind) including but not limited to imports, weapons, costumes, accessories, and all products containing trademarked properties are not authorized for sale in any Green Mustard Entertainment event. This also includes imported items that are licensed in other countries, but whose I.P. is held by a different licensor in North America.
- Our events general exhibitor areas are designed to be family friendly and appropriate for all ages. Any merchandise or material that exceeds a PG-13 rating should not be on clear display or easily accessible by attendees without assistance.
- Exhibitors agree that no weapon or adult material shall be purchased by or handled by any person under eighteen (18) years old. You are responsible for furnishing adequate information to Green Mustard Entertainment as to the proper removal of a weapon or adult material from the convention after purchase. - Green Mustard Entertainment reserves the right to revoke or refuse any application, deny access to, and/or remove Exhibitors from the event at any time.
- Green Mustard Entertainment is not responsible for losses due to theft, damage, fire, acts of nature, acts of God, a decrease in projected attendance, or other causes.
- You are responsible for providing your own insurance. Green Mustard Entertainment is not responsible for obtaining insurance for you, your company, or your employees.
- You are responsible for any and all business licensing and permits for operating during the event.
- It is your responsibility to collect, report, and pay sales tax and/or fees according to federal, state, county, and city regulations. Information and forms can be found online.
- For WasabiCon (Jacksonville): the Florida Dept. of Revenue – Florida Sales and Use Tax website.
- For WasabiCon PDX (Portland): the Oregon Department of Revenue website.
- For WasabiCon NOLA (New Orleans): the State of Louisiana Sales Tax Statues and Regulations website.
- All exhibitors and their staff must be eighteen (18) years of age or older to participate.
- All businesses must be owned and operated by an adult eighteen (18) years of age or older. The owner-operator is responsible for their staff adhering to local labor laws.
- For WasabiCon (Jacksonville): the Florida Legislature on Florida Statutes website.
- For WasabiCon PDX (Portland): the Oregon Bureau of Labor & Industries website.
- For WasabiCon NOLA (New Orleans): the Louisiana Workforce Commission website.
- Every Exhibitor space (including Artist Alley and Vendors) comes with two (2) badges. Vendors may purchase one (1) additional badge per booth at a discounted rate of $30 per booth on-site only. Please note: Artist Alley is limited to two (2) badges per space, so additional badges cannot be purchased.
- Additional processing fees will apply if you pay for your space online (via Tixr).
- These policies are updated regularly, so please check back prior to the event for any changes.
